Fiscal Year-End Archiving Process

Introduction

Before Year-End Processing begins, all the Old Year files must be copied to new files and archived. These files are distinguished by the presence of 'LY' in their file name. They include DB2 Tables, FOCUS, and Sequential Old Year files, and selected PDS libraries. The following paragraphs under "FRS explain each group of jobs and their Production Jobs for Archiving" will requirements.

Pre-processing Steps

As part of the archiving process, new files are created and file registration forms must be submitted prior to running the jobs. When they are completed it is wise to check that the files have been accurately created. The new dataset names will only need to be changed where indicated by 'FYxx'. (example: FY95 to FY96).

The new files names will be changed in the JCL when the jobs are scheduled. The control card C9681M1A must be updated prior to scheduling any of these archiving jobs.

It is important to note that some of these jobs will require a large amount of free space for temporary datasets. Therefore, space should be carefully evaluated before running these jobs.

FRS Production Jobs for Archiving

Old Year VSAM Archive Jobs

J9680BU1

This job creates the offsite backup of the Old Year VSAM files for a given Fiscal year. It uses FAVER to back up all the 'LY' VSAM files to an interim dataset which requires a lot of free space on the PRO.SCRATCH.DISK. This job may run in to trouble if other production jobs are using this scratch space at the same time. It is possible that this job may have to run standalone. Files used are:

Control cards C9680M2A, C9680M04 and C9680M05 must be updated with correct fiscal year prior to running this job or J9680B10.

J9680B10

This job creates the onsite backup of the Old Year VSAM files for a given Fiscal year. It has the same run requirements as J9680BU1. Files used are:

Old Year Sequential Archive Jobs

J9681M02

This job creates the sequential History files for a specific Fiscal Year. They are created from the old year sequential files. Run requirements are as follows:

This job creates the offsite backup of the old year History files for a specific Fiscal Year. Run requirements are as follows:

This job creates the onsite backup of the Old Year History files a given Fiscal year. It has the same run requirements as J9681BU1. Files used are:

Old Year FOCUS Archive Jobs

J9682M02

This job creates the FOCUS History files for a specific Fiscal Year. They are created from the old year sequential and VSAM files. Run requirements are as follows:

This job creates the offsite backup of the old year FOCUS History files for a specific Fiscal Year. Run requirements are as follows:

J9682B10

This job creates the onsite backup of the Old Year FOCUS History files for a given Fiscal year. It has the same run requirements as J9682BU1. Files used are:

Old Year PDS Library Archive Jobs

J9683BU1

This job creates an offsite archive for Production (PRO) and FRS Development (UATFRSP.FRSTEST.*) software libraries. This is done each Fiscal year to archive source code, jobs, etc. in the event the software is needed in the future to process the data for a specific Fiscal year. Run requirements are as follows:

J9683B10

This job creates the onsite backup of the Old Year PDS libraries for a Given Fiscal year. It has the same run requirements as J9683BU1. Files used are:
